Privacy Policy

Last updated: 20 October 2026

This policy describes the kinds of information Docki may handle when you use the website and its features, why it is used, and how to contact us about privacy. The information involved depends on which features you choose to use.

1. Information we handle

Depending on your use of Docki, this may include account and profile details such as your name, username, email address, institution, and avatar. If you sign in with Google, we receive basic profile details from your Google account, such as your name, email address, and profile photo. It also includes information you enter into document forms; saved items, notifications, listings, messages, reports, and other content you submit, including images you upload such as a profile picture or an image sent in an anonymous message; and records about purchases and transactions. If you turn on browser notifications, your browser gives us the information needed to send them to your device. The service also processes technical information needed to authenticate sessions, deliver pages and downloads, protect against misuse, and diagnose service problems.

2. How information is used

Information is used to operate the features you request, manage your account, generate and provide documents or resources, record and verify purchases, respond to support requests, investigate reports, protect the service, and meet applicable legal obligations. Access to information is limited according to the service's technical controls and the needs of operating or supporting the relevant feature.

3. Documents and generated files

Information entered into a document form is processed to create the requested output. Depending on the feature, related information or purchase records may be retained to support your account history, fulfilment, troubleshooting, or dispute resolution. Do not enter information you are not authorised to provide. Review generated documents before sharing or submitting them. Avoid including unnecessary sensitive information in a document form.

4. Payments

Paystack processes checkout payments. Docki uses transaction details such as a payment reference, amount, currency, status, and related purchase information to verify payments and provide paid features. Card payment details are handled by the payment provider rather than being requested in Docki's own forms. Paystack's own privacy terms apply to information it processes during checkout.

5. Anonymous messaging and user content

If you use anonymous messaging, messages and any optional image you submit may be processed and stored to deliver the feature, show the recipient their inbox, and support reporting or moderation. A sender is not presented to the recipient as a normal identified Docki account, but this does not guarantee technical untraceability in every circumstance. Reported content may be reviewed to assess potential abuse or violations of the Terms of Service.

6. Service providers and sharing

Docki relies on service providers to operate parts of the product, including Supabase for authentication and backend services and Paystack for payment processing. Information may be processed by providers as needed to deliver those services, or disclosed when necessary to address security issues, enforce our terms, respond to lawful requests, or protect rights and safety. We do not sell personal information to advertisers. Do not assume that content you choose to publish or send to another user remains private from that recipient.

7. Cookies and local storage

Docki and its authentication or interface components may use cookies, browser storage, or similar technologies to maintain sign-in sessions, remember preferences such as theme settings, and help the service function securely. Your browser provides controls for managing stored data, although blocking some storage may prevent parts of Docki from working correctly. The technologies in use may change as the product evolves.

8. Retention and security

Information is retained for as long as reasonably needed for the relevant feature, account operation, security, dispute handling, or legal and accounting requirements. Retention periods can differ by record type. We use technical and organisational measures intended to protect information, but no online service can guarantee absolute security.

9. Your choices and privacy requests

You can review or update some profile information in your account settings, and you can delete your account from your Account page. Deleting your account removes your profile, anonymous inbox, and saved items. Payment records are kept for accounting purposes, and deletion may not immediately remove every record from backups or records that must be retained for legitimate operational, security, dispute-resolution, or legal purposes. Depending on applicable law, you may have rights to request access to, correction of, deletion of, or other action concerning your personal information. Contact us to make a privacy request; we may need to verify that the request relates to you before acting on it.

10. Children's privacy

Docki is intended for students who are able to use the service under applicable law. If you believe a child has provided personal information inappropriately, contact us so we can review the matter.

11. Changes to this policy

We may update this policy when our features, service providers, or legal obligations change. The date above indicates the latest revision. Where required, we will provide notice of material changes.
